This Privacy Policy explains how The Proposal Maker (“The Proposal Maker,” “we,” “us”) collects, uses, and shares information when you use our website and application (the “Service”). This document is a template provided for convenience and should be reviewed and tailored by qualified legal counsel before you rely on it.

We collect the following categories of information:

• Account information: name, email address, organization, and authentication credentials.
• Content you provide: inquiries, documents, drawings, past proposals, and other files you upload to generate proposals.
• Usage and device data: log data, IP address, browser type, and interactions with the Service.
• Billing information: processed by our payment provider; we do not store full card numbers.

We use information to:

• Provide, operate, and improve the Service.
• Process the content you submit to extract data, match similar projects, and generate proposals.
• Authenticate users and secure accounts.
• Process payments and manage subscriptions.
• Communicate with you about the Service.

We rely on third-party providers to operate the Service, including cloud hosting and database providers, our payment processor, AI model providers that process submitted content to generate output, and a product analytics provider (see section 5). These providers process data on our behalf under their respective terms.

We use PostHog, a product analytics service, to understand how the Service is used and to diagnose faults. PostHog processes this data on our behalf, on servers in the United States.

• What we record: pages viewed, actions taken in the app (for example creating, generating, exporting, or sharing a proposal), performance and error data, and, outside the regions named below, a session recording of your browser window. A session recording can include the content displayed on screen, which for this Service includes client inquiries and generated proposal text. Password fields are never recorded.
• Visitors in the EU, EEA, UK, and Switzerland: we use a cookieless mode instead of a consent banner. No cookies or browser storage are used for analytics, no persistent identifier is created, you are not linked to your account in our analytics, and session recording is disabled entirely.
• Everyone else:analytics uses first-party cookies, and signed-in activity is associated with your account so we can distinguish one firm’s usage from another’s.
• Retention: session recordings are kept for 30 days. Analytics events are retained for up to 84 months.

Analytics requests are served from our own domain rather than PostHog’s. This is done so that network-level content blockers do not break the Service; it is not an attempt to evade them, and everything described above applies regardless.

We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account and associated content.

We implement technical and organizational measures, including tenant isolation and access controls, designed to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on your location, you may have rights to access, correct, export, or delete your personal information, or to object to or restrict certain processing. To exercise these rights, contact us using the details below.

We may update this Privacy Policy from time to time. We will post the updated version with a revised “Last updated” date.
